Your evolving responsibilities are to:

  • Provide exceptional customer service to potential and existing clients: exhibit a professional and patient approach to dealing with clients in stress;
  • Prepare and edit correspondence and legal documents such as affidavits, briefs and court forms;
  • Review and proofread documents and correspondence to adhere to court-required formatting and maintain a high standard of grammar, spelling and punctuation;
  • Open and close client files involving confidential and sensitive documents, while utilizing knowledge of legal records and procedures;
  • Assist our lawyers in managing their files, organising scheduling and calendars, assisting with client communications, appointments and arranging court dates;
  • Use our computer program, PC Law tool to generate reports and prepare billings, cheque requisitions, and disbursements;
  • From time to time, file time-sensitive documents such as Notice of Application & Motions, Case books, court forms at the Provincial Law Courts/Court of Queen’s Bench;
  • Handle cash and Point-of-Sale system, maintain payments and billing records and make regular bank deposits;
  • Assist the managing lawyer with book-keeping, organizing firm business, data-entry and some management tasks;

  • Adapt with the developing and evolving needs of the firm as other duties or roles arise

Qualifications and Skills:

  • Diploma/Certificate in a recognized Legal Administrative Assistant or equivalent
  • Exceptional customer service and interpersonal communication skills – a positive person
  • Skilled in the use of Microsoft Word, Outlook and Excel (experience and use of PC Law is an asset)
  • Strong attention to detail and accuracy, a commitment to learning and pride of work
  • Ability to relate well with co-workers, supervisors and contribute to a positive working environment
  • Organised, self-motivated and able to initiate organizational improvements;
  • Ability to handle confidential and sensitive information appropriately and professionally
  • French language skills would be an asset
